Iris Industry Solutions NV is a leading company in industrial anti-corrosion, with Ghent as an important operations hub. To further support our activities, we are looking for an Operations Administrator who will play a crucial role at the administrative heart of our organization.
In this versatile role, you support both the local team and management. You are the main administrative point of contact and thus contribute directly to the efficiency of our operations.
Preparing and following up on invoicing to customers, including monitoring price indexations
Administrative management of customer files and/or project/site files
Sending purchase orders to suppliers and following up the approval of supplier invoices by one or more Project Managers
Administrative management of supplier files
Administrative handling of commercial documents such as quotations, tender documents, etc.
Administrative support within the company’s safety, health and environmental policy
Administrative follow-up of blue-collar workers: social documents, correspondence, medical checks, etc.
Coordination and/or management of the bi-weekly timesheets
Acting as the point of contact for workers for all questions regarding their personal file
Professional reception of visitors and handling of telephone calls
Management of incoming and outgoing correspondence and emails (registered mail, letters, quotations, job applications, etc.)
Ensuring smooth office administration and logistics: agendas, expense notes, events, meetings, etc.
Administrative support to members of the Management Committee and the Legal Counsel
Ensuring efficient meeting management for the management team, the general assembly and the board of directors
Creating, updating or improving standard documents and procedures
Keeping official company documents up to date and managing them (criminal record extracts, certificates of non-bankruptcy, extracts from the Belgian Official Gazette, etc.)
You are someone who works accurately, communicates in a customer-oriented way and always deals with confidential information in a professional and discreet manner. In addition, you recognize yourself in the following competencies:
Strong communication skills, both oral and written
Good organizational skills and a strong sense of priorities
Analytical mindset and solution-oriented approach
Empathetic, helpful and a real team player
Flexible, accurate and aware of risks
Proficient with digital tools and MS Office
Bachelor’s degree or equivalent through experience
Ideally at least 2 years of experience in a similar administrative role
You have an excellent command of Dutch and French, both written and spoken
